Sponsorship Agreement Terms

To be included as a sponsor and receive benefits, the sponsor must submit the completed sponsorship agreement and pay the sponsorship fee at least four (4) weeks prior to the event(s) and at least five days prior to the production deadlines for each of the listed benefits, whichever occurs first. If the agreement arrives after the deadline, we will make every effort to add recognition at the first time available. There is no credit for event benefits that have already occurred prior to submitting an Sponsorship Agreement and paying the associated fee. Benefits are non-exclusive except where noted. The number of some listed events in multi-event packages may vary. If the number is different, the sponsorship fee will be adjusted proportionately. To receive optional benefits, the sponsor must notify event chair at least three (3) weeks prior. Space for tables is limited, and table space only applies for regular luncheons, regular educational workshop events and the annual conference. If a sponsor or partner requests a table and doesn't use it, the sponsor or partner will forfeit this benefit for the balance of the Agreement term. Any sponsor sign/identification must fit on or immediately behind the allotted table space provided. For the sponsor’s logo to be included, the sponsor must submit the logo per specifications prior to the production deadline for that benefit (ask event chair for deadlines). The sponsor is responsible for bringing handouts where applicable (please ask chair for attendance projection). For the optional raffle drawing included in some packages, the sponsor is to provide a valuable prize, and, after the event, the chair will provide a photocopy of the business cards submitted for the drawing. To use the complimentary event ticket(s), the sponsor must RSVP to the event chair by the online registration deadline for regular attendees or at least five (5) days prior, whichever occurs first. Sponsor may purchase additional event registrations online at the regular fee. The optional direct mailing to attendees or members is for one mailing only and must be through a bonded mailing company/entity. The sponsor is responsible for the cost of the item to be mailed and any associated postage or fees. At least three (3) weeks advance notice is required for use of a mailing list. AMA Houston does not provide email addresses. All benefits in this agreement expire at the end of the agreement term if not used.
